If you are to do an outstanding job of planning and coordinating any type of meeting or event, large or small, you must first understand why it is being held, what type of audience is being targeted, what benefits will be gained by those who attend, the type of environment preferred, and the end results desired. It is possible to coordinate a meeting without truly understanding its objectives, but if you are keenly aware of them your inner sense will alert you when priorities or sensitivities are being overlooked and you will be much more effective.
This awareness will also serve as a barometer for the planning team when putting together action plans for accomplishing each team member's area of responsibility.
A can-do attitude by everyone toward meeting the objectives of the meeting or event is a key ingredient!
It is not always financial success that matters! Some meetings or events are for non-profit and only expenses need to be covered, or it may be a mandatory meeting where all expenses will be the responsibility of the organization sponsoring it rather than the attendee. Financial goals are always important, regardless of what type of event, but satisfying or exceeding the expectations of attendees and sponsors is equally and sometimes more important.
Your team will extend beyond members from your organization. Take the extra time that is needed to research and check references before engaging service providers. You need to feel confident that they will be able to accommodate the unique needs of your group. It will be one of your most critical objectives to build trusting relationships with the venues and service providers you choose as partners in producing your event. You will be amazed at the expertise they will bring to the table and the guidance they can give when you make good selections. They will play a major role in your success.
